How it works
Photograph what's wrong on a site, give it to somebody with a date, and let them close it off from their phone. Everybody on the job can flag what they find — your lads, the subcontractors, the client — and nothing they flag becomes a job until you agree it. At the end of it you get a report the customer can actually read.
Every video below shows the real app. Captions explain what's happening — there's no sound, so nothing to turn up. The same words are written out under each one.
How it all works
Send this to a client, or anyone deciding whether to use it
The whole thing end to end — how a job gets flagged, agreed, done and reported, and what happens when somebody can't get on.
- A survey is one site visit. You give it a name, the site, the client, and a list of the areas — the yard, the plant room, the corridor. That list becomes the dropdown everybody else picks from, which is what keeps the report tidy later.
- Log a problem with a photo, where it is, what needs doing, how urgent it is, and who it's for. The date to complete is a dropdown: one to five days, a week, two weeks, a month, or pick a date off a calendar.
- The list is live. Add a job at four o'clock and it's on that person's phone at four o'clock. Nothing gets re-sent and nothing goes out of date.
- Everybody on the site can flag what they find — your own lads, the subcontractors, the client. Here is the version that matters most: Dave at Redline Plumbing turns up to run a pipe and nobody has cored the wall. He flags what's stopping him, from inside the job.
- His job pauses on the spot, before you have even looked at it. It stops counting as late, because being held up by somebody else's work isn't his failing — and an overdue figure that blames the wrong man is one nobody trusts.
- Nothing anybody flags becomes a job until you agree it. It waits in one place, marked as holding somebody up, and you say yes — picking who's doing it and by when in the same step — or no with a reason, which sends Dave's job straight back to him.
- Somebody does the core hole, and Dave's job comes back onto his list by itself. No phone call, and nobody had to remember to un-pause anything.
- On the tools it is three buttons when you're finished: Done, Couldn't do it, or Need longer, with a photo and a note.
- Tick one box and your client sees the whole site — what's done, what's left, and the photos. They flag changes the same way anybody else does, and watch them get done.
- The report is the point of all of it. Filter it by who it's assigned to, by where on site, or by what state it's in — and the chart and the numbers move with it.
- Anything that failed, or is waiting on something else, sits at the top with the reason in the worker's own words. Anything flagged but not yet agreed is listed for the record and left out of the figures.
- Put your own logo and colours on it in Settings, then download it as a PDF or a Word document, or email it straight out.
Two levels of access
Everybody signs in to the same app. Nobody sees work that isn't theirs unless you say so.
Admin
You, or whoever is running the job
- Set a survey up and list the areas of the site
- Log what you find, with a photo and a date to complete
- Agree or turn down anything the site flags
- Hand work out — one at a time, or six at once
- Approve or refuse a request for more time
- Produce the report, filter it, and send it
- Create everybody else's login
Site user
Everybody else — your own lads, the subcontractors, and the client
- See the jobs they were given, soonest first
- Mark one Done, Couldn't do it, or Need longer, with a photo and a note
- Flag anything they find on any site they are on
- Flag what is stopping them, so the job pauses instead of going late
- See what they raised and what they were given — nothing of anybody else's
Their firm
Fill in a company against anybody outside your own team, including the client. Whatever they flag gets badged with it, so you can see at a glance which trade raised what.
Can see everything on this site
A tick, per person, per survey. Off, they see only their own work — which is what you want between two firms who both work for you but not for each other. On, they see the whole list. That is the client's view of their own building.
Send the right one to the right person
Nobody needs the whole overview. These are the short cuts — one for whoever runs the job, one for everybody else.
For whoever's running it
Send this to whoever sets up and runs a survey
Setting a survey up, getting people onto it, agreeing what gets flagged, and getting the report to the customer.
- Start with a new survey: name it, add the site and the client, and type the areas of the site one per line.
- Adding somebody is two steps, and the second one is easy to miss. An account in Team gives them a login. Putting them on a survey under People is what lets them see that site and be given work on it — and there's an Add them all if everybody's on the job.
- Tick “can see everything on this site” for the client. Without it, people see only what they raised and what you gave them, which is what you want between two firms who both work for you but not for each other.
- Walk the site and log what you find — photo, location, what needs doing, who it's for, and a date from the dropdown.
- Anything the site flags waits under Waiting on you. Say yes and pick who's doing it in the same step, or no with a reason. Until you agree it, it counts in nothing.
- Somebody stopped by another trade turns up there too, marked as holding a job up. Turn it down and that job goes straight back on their list.
- Requests for more time land in the same place. Approve with the date they asked for, or type a different one. Your reason goes on the job's history either way.
- Open the report, set the filters, check it reads right, then download it or email it. What's on the screen is exactly what gets sent.
- Set your logo, colour and company details once in Settings — they go on the report, not on the app.
For everyone on site
Send this to your lads, your subcontractors, and anyone else on the job
A couple of minutes. Doing your jobs, flagging what you find, and what to do when you can't get on.
- Sign in and you see your jobs, and only your jobs. Soonest first, anything late in amber at the top.
- The tabs across the top: what's to do, what's held up waiting on somebody else, what you've flagged yourself, and what's finished.
- Tap a job to see what needs doing, where it is, and when it has to be finished by.
- When you're done, pick one of three: Done, Couldn't do it, or Need longer.
- Take a photo of the finished work and say what happened. Keep it plain — the customer reads it on the report.
- Spotted something that isn't your job? Go to Sites, pick the site, and flag it. It goes to the office to be agreed before it becomes anybody's job.
- Can't get on because something else needs doing first — no hole cored, no power on? Flag what's stopping you, from inside the job.
- Your job pauses there and then. You're not marked late for waiting on somebody else, and it comes back to your list the moment it's sorted.
- Asking for more time doesn't move the date on its own. It waits for the office, and the job stays on your list until they decide.
- Put it on your home screen so it opens like an app. On an iPhone: Share, then Add to Home Screen. On Android: the menu, then Install app.
Getting a login
There's no sign-up form, on purpose — whoever runs the survey creates the accounts and passes on the password. If you're expecting access to a site and haven't got it, ask them rather than us.
